Merge Fields

When creating an Invoice Template, there will be a long list of Merge Fields provided to you, which you can insert into your email template and invoice PDF template. Merge Fields allow you to insert a form that will be automatically replaced when you create the invoice, allowing you to use this as a template for any number of invoices.

For example, if you were to enter [invoice.contact.company] into an invoice template, this will be automatically replaced by the name of the Client you are invoicing.

Simply click on the Merge Field to copy it to your clipboard, and then paste it wherever you like into the text field.

 

Our Company Info

These Merge Fields refer to information about your company.

 

Merge Field Content
[account.company.name] This is the name of your company.
[account.company.website] This is your company's website
[account.business.number] Depending on your type of business, this could refer to the Contractor License Number, the VAT number, or GST number
[account.business.number.title] This is the term for the above number (Business Number, VAT Number, GST Number, etc.)
[account.email] This is the primary email address associated with your company
[account.phone] This is the primary phone number associated with your company
[account.fax] This is the primary fax number associated with your company
[account.address] This is the primary street address associated with your company
[account.tax] This is the tax code associated with your company
[account.payoptions] These are the payment options for the invoice, which are set based on your integrations

 

Billing Contact Info

These Merge Fields refer to information about the Billing Contact you are sending the invoice to.

[invoice.contact.company] This is the name of the Company you are invoicing.
[invoice.contact.firstname] This is the first name of the Billing Contact you are invoicing.
[invoice.contact.surname] This is the surname or last name of the Billing Contact you are invoicing.
[invoice.contact.phone] This is the phone number of the Billing Contact.
[invoice.contact.email] This is the email address of the Billing Contact.
[invoice.contact.position] This is the position held by the Billing Contact.
[invoice.contact.postal.street1] This is line one of the Billing Contact's postal address.
[invoice.contact.postal.street2] This is line two of the Billing Contact's postal address.
[invoice.contact.postal.city] This is the city of the Billing Contact's postal address.
[invoice.contact.postal.zipcode] This is the Billing Contact's postal address zip code.
[invoice.contact.postal.state.name] This is the Billing Contact's full state name for their postal address.
[invoice.contact.postal.state.abbreviation] This is the Billing Contact's state abbreviation (e.g. CA instead of California) for their postal address.
[invoice.contact.postal.country.name] This is the Billing Contact's postal address country.
[invoice.contact.physical.street1] This is line one of the Billing Contact's street address.
[invoice.contact.physical.street2] This is line two of the Billing Contact's street address.
[invoice.contact.physical.city] This is the city of the Billing Contact's street address.
[invoice.contact.physical.zipcode] This is the Billing Contact's street address zip code.

Invoice Detail

These are the Merge Fields which refer to the specifics of the invoice you are sending.

[invoice.logo] This is your company's logo.
[invoice.number] This is the unique number ID for the invoice, assigned by Accelo or your integrated accounting system
[invoice.subject] This is the Title of the invoice.
[invoice.company] This is the name of the company you are billing.
[invoice.owner.firstname] This is the first name of the internal invoice owner/manager.
[invoice.owner.surname] This is the surname or last name of the internal invoice owner/manager.
[invoice.created] This is the date the invoice was created.
[invoice.due] This is the date that the invoice will be due for payment..
[invoice.amount] This is the pre-tax sub-total of the invoice.
[invoice.tax] This is the total tax for the entire invoice.
[invoice.total] This is the tax-inclusive total price.
[invoice.outstanding] This is the outstanding amount of the invoice. This is useful for reflecting when a partial payment has been made.
[invoice.reference.title] This is the title of the work you are billing the client for, such as the Project title or Ticket title.
[invoice.notes] These are the notes you have written to the customer in the external notes section of the invoice.
[invoice.currency_symbol] This is the currency symbol which the invoice was set to use.
[invoice.creditcard] This is the link for the client to pay their invoice by credit card. This link is only available for users of the Stripe or Authorize.net integrations..
[invoice.paypal] This is the link for the client to pay their invoice through PayPal.
