Time & Expenses

Time tracking and logging time are a core function of Accelo. As your staff is sending emails, scheduling meetings, creating internal notes and more, they are logging their time, allowing managers to have deeper insight into not only what their team is working on, but how long it is taking them to work on it.

Using the Time Entries Reports in Accelo, a manager can receive insight into Time Entries by Class as well as Time Entry Value by Employee, allowing them to see who is logging time and how much billable/non-billable time is being logged.

Time Entry Value by Employee

Review all billable and non billable time entries, based on the person who logged the time and its billable and cost value. Billable value is calculated based on the amount of billable time logged and the billable rate.

For a professional service business, costs and revenues are determined by the time which staff work. It is therefore important for these businesses to have visibility into how much time is being logged, the value and cost-to-them of that time.

Some questions this report could answer include:

  • Who are my top and bottom time loggers?

  • Is anybody not logging their time?

  • Who are the most and least profitable employees?

Time Entries by Class

Review all billable and non billable time entries, based on the activity's class.

As a manager, you may be interested in how your team as a whole (or individually) is logging its time. Is Jane logging more hours than John per week? Maybe you want deeper insight into how much time your team logged in April vs. July. Using the Time Entries by Class Report, you can get a bird’s eye view of your team’s time entries, based on the activity’s class.

Some questions this report could answer include:

  • How much time did my team log in January vs. February?

  • Why is team member X logging such little time? Do I need to speak with him/her?

  • How many billable hours vs. non-billable hours has my team logged?

Missing Time

Whether it's setting budgets, planning for future hiring or billing for hourly work, having complete and accurate time entries is critical for any service business. The Missing Time report helps to maximize your billable time by providing a simple summary of who hasn't logged their time, when that time was missed and how much time was missed, all based on each individual's unique availability and PTO, so that you can ensure that valuable time is logged.

Some questions this report could answer include:

  • It's time to send out invoices.  Has everyone logged their time?

  • It's time to run payroll.  Has everyone logged their time?
  • My budget number seem a little low.  Has everyone logged their time?

Expenses Overview

Overview of the cost and status of all expenses.

It is critical for companies to keep track of their expenses. Knowing where money is being spent on expenses, as well as the timing of those expenses can allow a business to make smart financial decisions moving forward. Using the Expenses Overview Report, your company’s accounting staff can stay on top of the company's expenses.

Some questions this report could answer include:

  • Are there expenses that I need to approve or reimburse?

  • What kinds of expenses are we incurring? Are we drowning in meals vs. flights?

  • Who's incurring all of the expenses? Do we have someone incurring a lot of expenses that shouldn't, or someone recording a disproportionately large number of expenses?

  • What's the historical trend in expense volume and costs? Is this month a spike in costs?
