Capturing Accelo Activities in your Gmail Inbox

By default, any emails you send from Accelo will sync as notifications to your Gmail inbox. Some users prefer this, as they like to know which emails were sent from Accelo and which were not when viewing their inbox in Gmail. 

Using this guide, you can:

 Have Accelo Activities Captured in Gmail

Whether you send a client an email from Gmail or Accelo, we know how important it is to be able to look in your Gmail and find everything you've sent. Because Activities sent from Accelo don't go out from Gmail, there's a couple of simple steps required to ensure the Activities that you send from Accelo appear in your Gmail Inbox.

  1. Hover your mouse over your Avatar/Icon at the top right of Accelo.

  2. Choose Preferences.

  3. Scroll down to the Notifications table and turn on notifications for the top row labeled When you create the activity. This will BCC you on all Activities (notes, email, meeting, call) made against a Company/Contact, Sale, Project, Milestone, Ticket, Retainer, Invoice or Request.

Once the Notifications is set, you will receive a copy of every activity you send from Accelo in your Gmail Inbox - from where you can use some Gmail magic to handle them automatically!

 

Set up Filters to Declutter your Inbox

Now that you're receiving the emails, you'll want to set up filters to help you declutter your Gmail Inbox. You can set up filters in Gmail so that emails you send skip the inbox, get marked as read and optionally have them assigned to a separate folder.

NOTE: Screenshots may appear slightly different depending on the version of Gmail you're using. We included two versions to assist.

  1. Click on your Gear/Cog icon near the top right of your Gmail account, and click on Settings.

  2. On the next page, click on the Filters and Blocked Addresses. It might appear a little different than what's pictured depending on the version of Gmail you're using. We have some examples below.

  3. Once you're on the tab for Filters and Blocked Addresses. Select Create a New Filter that matches the following rules (use the email address you set up as in Accelo).

  4. Click on Create Filter with this Search or Create Filter depending on your version of Gmail.

  5. Next, check the boxes for Skip the Inbox and Mark as Read. This will ensure that any email hitting your Gmail, will be archived.

  6. Click Create Filter one last time, and you're done! You can send a test email from your Accelo account to make sure everything is working correctly.

Optional: If you want to route your emails to a specific folder, you can select Apply the label “X”
